Terms & Conditions

These Terms & Conditions apply to all bookings, hires, and services provided by Hippo Event Hire.

By confirming a booking with Hippo Event Hire, you agree to the following terms.

Bookings & Quotations

All quotations are valid for 14 days unless otherwise stated.

Bookings are only confirmed once written confirmation has been issued and any required deposit has been received.

Hippo Event Hire reserves the right to refuse bookings at our discretion.

Payments

A deposit may be required to secure your booking.

Full payment must be received prior to delivery unless agreed otherwise in writing.

Late payments may incur additional charges and recovery costs.

All hired equipment remains the property of Hippo Event Hire at all times.

Delivery & Collection

Delivery and collection times are estimates and may vary due to traffic, weather, or operational factors.

Customers are responsible for ensuring:

  • Safe and suitable access

  • Adequate space for delivery vehicles

  • Suitable ground conditions

  • Any required permissions or licences

Additional charges may apply where difficult access, delays, or additional labour are required.

If we are unable to safely deliver or collect equipment, Hippo Event Hire reserves the right to withdraw services without refund.

Utilities & Site Requirements

Where applicable, customers are responsible for providing:

  • Suitable power supply

  • Water supply

  • Appropriate waste access

Unless otherwise agreed, generators and temporary utility supplies remain the responsibility of the customer.

Equipment Use

All equipment must be used appropriately and only for its intended purpose.

Customers must not:

  • Move equipment after installation

  • Modify equipment

  • Attach fixtures without permission

  • Allow hazardous materials inside units

The customer is responsible for ensuring equipment is protected from misuse, vandalism, theft, or damage during the hire period.

Additional charges may apply for:

  • Blocked toilets

  • Excessive cleaning

  • Smoking inside units

  • Graffiti

  • Damage caused by guests or contractors

Servicing During Hire

For longer hire periods, servicing schedules will be agreed in advance.

Customers must provide reasonable access for servicing visits throughout the hire period.

Damage, Theft & Loss

Customers are responsible for all loss, theft, or damage occurring during the hire period beyond fair wear and tear.

Repair or replacement costs may be charged where necessary.

We recommend customers ensure suitable event insurance is in place.

Cancellations

Deposits are non-refundable unless otherwise agreed in writing.

Cancellation charges may apply depending on notice provided and operational costs already incurred.

Cancellations made within 14 days of the hire date may incur charges up to the full booking value.

Weather & Force Majeure

Hippo Event Hire shall not be liable for delays or failure to perform due to events outside our reasonable control including:

  • Severe weather

  • Flooding

  • Vehicle breakdown

  • Road closures

  • Industrial disputes

  • Government restrictions

Liability

Hippo Event Hire shall not be liable for indirect or consequential losses, loss of profits, or event disruption outside our reasonable control.

Our total liability shall not exceed the total amount paid for the hire.

Nothing within these Terms excludes liability for death or personal injury caused by negligence or any liability which cannot legally be excluded.

Photography & Marketing

We may photograph our equipment at events for marketing purposes unless requested otherwise in writing before the event.

Website Information

We aim to ensure all website information is accurate, however specifications, pricing, availability, and imagery may change without notice.

Governing Law

These Terms & Conditions are governed by the laws of England and Wales.
